Position Title: Customer Service/Administration
Report to: State Manager
Key Responsibilities:
1.Office Management:
-Greet visitors, answer company hotline calls, and respond to emails in a professional and courteous manner under the support of relative departments, including technical support and sales.
-Forward the inquiries to the correct person that the visitors or calls are looking for.
-Maintain a clean and organized office environment.
2.Calendar Management:
-Schedule appointments, meetings, and events for team members.
-Coordinate travel arrangements, including transportations and accommodations as needed.
3.Document Management:
-Create, edit, and format documents, reports, and presentations.
-Manage and organize digital and physical files.
4.Correspondence:
-Draft and proofread correspondence, memos, and emails.
-Distribute internal and external communications.
5.Meeting Support:
-Prepare meeting agendas, take minutes, and distribute relevant documents.
-Coordinate logistics for meetings and events.
6.Data Entry:
-Accurately enter and maintain data in spreadsheets or databases.
-Update and manage contact lists.
7.Supplies and Inventory:
-Keep track of stationery inventory and ensure adequate stock levels.
